Acceptable Use Policy

1. Lawful use

• Patient-, service-user-, or carer-identifiable information unless you are clearly entitled to do so for the purpose for which you are using the Service.
• Colleague-, supervisor-, employer-, organisation-, or placement-identifiable information you are not entitled to share.
• Special category personal data about another person without a lawful basis.
• Confidential, commercially sensitive, or legally privileged information you do not have the right to disclose.

3. Anonymisation responsibility

ReflectionGuide is designed for anonymised reflective drafting. You are responsible for ensuring that scenarios, drafts, and exports are appropriately anonymised before being saved, shared, exported, or used in any educational, professional, supervisory, or regulatory context.

4. Use of outputs

Drafts produced by the Service are working drafts based on your responses. You must review and edit them before use in coursework, portfolios, placements, supervision, professional revalidation, or any other formal setting. The Service is not a substitute for your own reflection or professional judgement.

5. Prohibited conduct

You must not:

• Use the Service in any unlawful, harmful, abusive, harassing, or misleading way.
• Submit content that infringes the intellectual property, privacy, or other rights of any third party.
• Use the Service to generate content that is intended to deceive an educator, assessor, regulator, or employer about the authorship of your reflection.
• Reverse engineer, decompile, scrape, or attempt to derive the source code of the Service, except to the extent permitted by law.
• Probe, scan, or test the security of the Service without our prior written permission.
• Bypass, attempt to bypass, or facilitate bypassing of payment, access controls, rate limits, or usage quotas.
• Upload malware, automated agents, or otherwise interfere with the integrity of the Service.

6. Consequences of breach

If you breach this policy we may, depending on the seriousness of the breach, issue a warning, suspend your account, terminate your access, remove content, refuse refunds where lawful, or report unlawful conduct to the relevant authorities.
